Administrative Assistant (Part-Time)
Summary
The Administrative position provides overall support project, program, and some human services administrative tasks and staff communication and reporting support. The Administrator will support GBPS project and assist the Executive Director in administrative tasks overall program 3) And will attend program funders training and staff meetings as necessary to ensure work with team is aligned with goals of GBPS Project: Must understand and know the importance of organization and have prior skills.
Duties and Responsibilities
· Support management of administrative detail, all projects
· Support Administration Coordination of program goals
· Update program schedules to include reports, invoices, events, and meetings
· Support GBPS Coalition team to ensure monthly meetings are on schedule
· Must be able to establish weekly zooms for all programs – and provide reports when necessary-
· Review program correspondence/reports (when necessary)
· Receive training in DFC and Comet Reporting tools to perform GBC reporting obligations.
· Ensure programs are reporting participants attendance, volunteer activities, coalition activities.
· Handle all email, web inquiries within capacity
· Provide back-up materials for callbacks
· Aid and assist in bookkeeping objectives.
· Review and turn in monthly purchase orders, staff and contractors time sheets,
· Collect and file purchase receipt – and to include forwarding to accountant
· Develop with accountant bill payment calendars
· Develop and maintain programming monthly files to include all the above
· Some HR obligations-collect and file by name
